What they did
1) Connect Gmail, Zapier, and Airtable. Create a Proof Library table with sender, original message, cleaned quote, outcome, product, strength score, permission, source, and next action fields. Add a Gmail label for messages to review. 2) Trigger a Zap on newly labeled conversations. Pass the email body to AI by Zapier's Analyze and Return Data action; request a short faithful quote, stated outcome, product, 1–5 score, permission assessment, and clarification question. Forbid invented details. 3) Use Paths or separate filtered Zaps to save strong quotes, draft permission requests where consent is unclear, and request specifics for vague praise. Preserve the original message with each record. 4) Check the original wording and actual permission yourself before marking a quote approved. Add a monthly reminder to review and reuse approved material.
Worth knowing
An AI assessment does not grant publication permission. The tutorial requires a person to verify consent before approval.
